A free slot is not automatically a bookable session
For individual coaching, more than an empty calendar space must be right. The coach, location and time must all work together. When one part is missing, your team ends up doing manual work or disappointing a member.
FITsociety does not automatically assign the best coach. You decide which offer to open and which availability applies to it.
Start with the offer, not loose slots
For every session, record the appointment type, duration, required coach skill, location or online form and preparation. An intake, progress meeting and PT session can have different requirements. One generic “available” block hides those differences.
Choose which availability leads
- Coach-led: online coaching or conversations where any suitable coach can use the same place.
- Location-led: a fixed room, device or studio where the coach can vary.
- Coach and location-led: sessions tied to both a specific coach and a space.
Set that choice in your calendar before members book through the app or your own portal.
Plan duration and buffer deliberately
Scheduled time is not always the full work time. Include preparation, a short handover, cleaning or moving between locations. Use buffers your team can genuinely keep.
Test three real situations
Test a coach who is available while the location is occupied, a location that is free while the coach is unavailable, and a session where both are available. Test on mobile and in the member portal you share.
Say clearly what is being booked
Use the same words in the offer and confirmation: coach, location, duration and preparation. If the member still chooses between coach or location, say so before booking. Do not promise automatic matching or changes you have not configured.
Practical tool: availability matrix
Create one row per appointment type: offer, audience, coach requirement, location requirement, duration, buffer, booking route, confirmation and owner. Review it weekly with the team when changes are frequent.
Frequently asked questions
Can I use only coach availability?
Yes, when the offer does not require a specific room or location. Agree in advance on when that changes.
When should coach and location be used together?
When a session is only deliverable if both are right at the same time, such as PT in a specific studio or room.
Where do members book their session?
Members can book in the FITsociety app and you can use your own online portal as the route. Give each audience one clear explanation.
